Job Description
Medical Teams International is seeking a qualified HR and Admin Assistant to provide day-to-day human resources and administrative support in its Shire office. The successful candidate will assist in recruitment, onboarding, personnel administration, employee records management, benefits administration, and office operations while ensuring compliance with organizational policies and procedures.
Key Responsibilities
Human Resources Support
- Assist in advertising vacancies through available recruitment channels.
- Coordinate recruitment processes and staff onboarding.
- Conduct reference and background checks for prospective employees.
- Prepare employment contracts and appointment letters.
- Maintain personnel files, HR databases, and employee records.
- Organize interview schedules and recruitment logistics.
- Support disciplinary documentation in accordance with organizational policies.
- Ensure HR documentation is properly archived.
- Monitor staff contract validity and notify HR management of upcoming renewals.
Administrative Support
- Support daily administrative operations.
- Provide translation support when required.
- Monitor office stationery and refreshment supplies.
- Coordinate payment of office utility bills.
- Assist the logistics team with travel, hotel, and flight arrangements.
- Maintain an organized and confidential working environment.
Safeguarding & Compliance
- Promote Medical Teams International's safeguarding policies.
- Ensure confidentiality of employee information.
- Support infection prevention and workplace safety measures.
- Perform additional duties assigned by supervisors.
Qualifications
Education
- Bachelor's Degree in Human Resource Management, Management, or a related field.
Experience
- Minimum 2 years of HR administration experience.
- Experience using Microsoft Excel is required.
- INGO experience is an added advantage.
Required Skills
- Knowledge of HR administration and recruitment processes.
- Understanding of Ethiopian labor laws and HR documentation.
- Familiarity with HRIS or payroll systems is advantageous.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent communication and interpersonal skills.
- Strong organizational and time management skills.
- High level of confidentiality and professionalism.
