Job Description

Job SummaryYMCA Ethiopia is seeking a qualified Executive Secretary to provide high-level administrative and organizational support to the Executive Director. The position serves as a central point of contact, ensuring effective communication, efficient scheduling, coordination of meetings and travel, proper documentation, and smooth day-to-day executive operations.

Key Responsibilities

  • Manage and maintain the Executive Director’s schedule, appointments, meetings, and travel arrangements.
  • Coordinate meetings, conferences, and events, including all necessary logistics.
  • Manage email correspondence and prioritize important communications.
  • Handle incoming and outgoing correspondence, including emails, letters, and memos.
  • Draft, edit, and proofread letters, reports, and other official documents.
  • Maintain organized files, records, contact lists, and databases.
  • Handle confidential information with a high level of discretion and integrity.
  • Arrange flights, accommodation, transportation, and other travel logistics.
  • Prepare and reconcile travel and other expense reports for the Executive Director.
  • Provide general office support, including office supplies and equipment management.
  • Assist other departments with letter drafting, report compilation, documentation, and related administrative tasks.
  • Perform other duties assigned by the Executive Director.

Qualifications & Experience

🎓 Education: Bachelor’s degree in Secretarial Science, Office Management, Business Administration, or a related field.

💼 Experience: 2–3 years of progressively responsible experience in executive secretarial or similar administrative roles.

  • Strong communication and interpersonal skills.
  • Good knowledge of office procedures and administrative systems.
  • Strong organizational and time-management abilities.
  • Ability to coordinate multiple workloads and responsibilities.
  • Proactive approach to improving administrative processes and service delivery.
  • High level of integrity and confidentiality.
  • Ability to work effectively in a multicultural environment.
  • Knowledge of NGO operations is an added advantage.

Language Requirements

  • Amharic: Fluent, written and spoken.
  • English: Fluent, written and spoken.
